General questions

Do buyers have to pay for sending inquiries?

The entire platform with all of its features is free of charge for buyers. So no, you don’t have to pay as a buyer!

How do I send an inquiry?

On the homepage you can use the search bar to look up the API or raw material you are looking for. You can search on the name, a synonym or the CAS-number.

You can click on the result in the search bar or you can press the Enter key, which will bring you to the result page.

To send an inquiry simply select the “Send inquiry” button on the right side of the supplier of your choice. It is necessary to be logged in though! The website will ask you to log in if you aren’t yet.

Do I receive a price offer from the Supplier or do I receive it from Pharmaoffer?

You will receive a price offer from the actual Supplier, as long as the supplier itself is active on the platform. Not all of them are active (yet!).

Do I place my order at the Supplier or at Pharmaoffer?

On the Pharmaoffer platform, you will place your order directly with the Supplier of your choice. It’s all integrated in the inquiry and chat module.

Does Pharmaoffer approve the supplier certificates?

Pharmaoffer checks the documents to make sure that, for instance, someone hasn’t uploaded a broken or blank file.
But it’s the buyers responsibility to check the content, to validate and approve the documents and thus the supplier. Feel free to contact us if you have doubts or need technical support, and we’ll do our best to assist you.

Can I list my products on Pharmaoffer?

Yes, you can register as a producer or trader and add your products. After you have registered and are logged in, you can add products in your company dashboard by going to “My products”.

My company is listed at Pharmaoffer, but I don't know who is managing our account?

It’s possible that one of your colleagues controls the account, or that the company profile isn’t claimed yet. We are connected to lots of pharmaceutical databases it’s possible that your company is listed but not claimed by a person yet.

In any case, if you find yourself asking who is managing your account, reach us at info@pharmaoffer.com and we’ll sort it out with you.

How can I get a higher ranking at the result page?

You can earn Pharmaoffer points by completing your company dashboard and settling orders. For recurring orders, you’ll receive even more points. Suppliers with the most points will be on top of the result page.

Can everybody see my quality related certificates?

No, only the CoA’s are downloadable by users that are logged in. For other certificates such as GMP it’s up to you whether or not you want to share this in the inquiry chat.

Can I share my account with colleagues?

Yes you can! You can invite your colleagues in your company dashboard. They’ll receive an email with an invite, and you’ll each have your own login credentials.

Can everybody see my products CoA?

Users will see that it’s available, yet only after logging in they will be able to download it.

Can I cancel my account at any time?

Yes, please send an e-mail to info@pharmaoffer.com and we’ll help you out.

Will my product be listed immediately after adding it?

Yes, but you do need to check the “CoA” box from red to green. You can also decide to upload the CoA which is optional, but we notice suppliers with an uploaded reference CoA receive more inquiries than others who don’t upload it.

I'm not a producer, but a trader. Can I list my products too?

Of course, make sure you register as a trader and upload quality related documents of the producer for each product.

Orders

Why should I place my order on Pharmaoffer? What are the benefits?

We are able to give you as a pharma professional the entire package from start to finish for purchasing pharmaceuticals. From sourcing to receiving the shipment.

The old fashioned way would be to have to use a few different search engines and filtering through the results, contacting your own network, sending e-mails, calling sales departments, having to gather all information together…. this takes up a lot of your time.

On our platform you can send your inquiry, even to multiple producers at once, with a few mouse clicks. And in your dashboard you’ll get an overview of all the inquiries you’ve sent, the orders you’ve placed, shipping documents you’ve received. It’s basically your online CRM system.

Can I add additional terms and conditions to orders?

Yes, during the order process you wil be able to add (B2B related) conditions for the other party to accept. You’ll come across this option at a certain point during the order process, it is optional though.

How much does it cost to place an order?

Placing an order for you as a buyer is free of any charge.

Under which Incoterms can the order be confirmed?

Currently there are two possibilities, Ex-works (EXW) and Carriage and Insurance Paid (CIP) to the place of your choice.
Contact us if you can not work with this and we’ll find a solution together.

Can I also order a narcotic product?

Yes, this is possible if you have the right qualifications, permits and certificates. All narcotic orders have to pass our strict Narcotic Validation.

Can anyone send and receive orders?

Yes anyone can send and receive orders. After confirmation of the order though, both the buyer and the supplier will have to pass a Financial and Quality Validation by Pharmaoffer.
Only pharmaceutical professionals and business will be approved, end-users or consumers can not use Pharmaoffer.

Is every shipment insured?

It’s up to buyer and supplier if, and how the shipment will be insured. It depends on the Incoterms, amongst other factors. Pharmaoffer currently doesn’t offer any insurances.

I have received the shipment but the product is out of spec, what can I do?

You should contact the supplier as soon as you can and also inform Pharmaoffer about the problem.

Payment

Do I send my payment to the supplier or to Pharmaoffer?

As a buyer you will pay Pharmaoffer. The funds will be transferred to a bank account called “Pharmaoffer Secure Payment”. By doing so, we can guarantee a safe and trustworthy payment settlement of the order.

How can I pay for the order?

Currently, you can only pay the proforma invoice by wire transfer (SEPA or SWIFT). Detailed payment instructions will be shown during the order process.

When do I have to pay the order?

In order to provide a safe transaction between you and the supplier, the payment always is in advance (T/T).

When will the supplier receive the payment?

At the expected delivery date, we will verify with the buyer if the shipment has been received according to the previously agreed conditions and if the goods are in their hands. Then, we will transfer the funds to the supplier.

Who will pay the bank transaction costs?

With regard to the Proforma invoice, the Buyer will pay all banking and transfer costs. With regard to the Pay-out to the Supplier, Pharmaoffer will pay all banking and transfer costs.
